How do I get more out of software my company already pays for?

Before you buy anything new, get your information into the software you already have, set it up to follow how your work actually moves, and turn on the reminders and automations it already includes. Most businesses pay for tools, a CRM especially, that could do far more than they're being used for. The gap is usually setup, not software.

It's the first thing I look at, every time.

Why the tools sit half used

Software gets bought to fix a problem. Somebody sets up the basics, the team learns enough to get by, and then everybody goes back to their actual jobs, which is what people do when they have actual jobs.

So the CRM holds names and phone numbers. The real customer history stays in someone's inbox, a spreadsheet, or their head.

What it looks like when it's set up

A distributor I work with has close to 100 clients. His list lived in a monthly spreadsheet. His order notes were in his phone, and his follow-up was in his memory. He couldn't easily tell which customers had gone quiet.

The fix started with software he already paid for. Every customer in one place. Clear stages for an order. A rule for what happens when someone goes quiet: 60 days without an order, a helpful email, 90 days a different one, 120 days a flag to pick up the phone. And a short video for each process so he could find the answer later.

When he started running ads, the leads had somewhere to land. The ads went live in the afternoon, and the first appointment was booked that evening.

None of that was new software.

The order that usually works

Get the information in one place first. If the same customer lives in 3 systems, nothing on top of them works well, AI included.

Then match the tool to how the work actually moves. The stages in your CRM should be the stages your orders or jobs really go through, not the defaults it shipped with.

Then automate the parts that should happen every time. Reminders, follow-ups, the report you'd check if it were easy to pull. AI can help with the drafting once the rules exist.

Then look at what's still missing, and fill only those gaps. Sometimes nothing on the market does what you need, and then I'll build it. That's the last resort, though.

If you want help with it

At Good Business Group, I do this for businesses in Lafayette and across Acadiana. It's part of how I approach AI consulting and fractional COO work: use what you already have first.

It starts with a free Vent to Me Meeting. Then a First Read, then Where to Start, the plan and the proposal in one short document, also free. Projects start at $3,500, with a fixed price before any work starts and no retainer.

Book 30 minutes and vent. I'll take it from there.

The first meeting is free and takes about 30 minutes. You don't need to prepare anything. Just tell me what's been going on, and I'll take it from there.
